Good Morning HPL-WeCAN Works Team,

First, let me thank you for your continued support of WeCAN Works, particularly the ABE/GED classes being offered at your sites! The classes are off to a great start this year, and I know that with your partnership, “We CAN” and will continue to provide this excellent resource to the residents of the City of Houston!!

So that you do not spend your own copy credits for WeCAN Works related items, I have attained and loaded copy cards ($40) for each of your locations to make copies in the event that the instructor needs to make copies associated with the Track II ABE/GED classes. I will be preparing to send them to your attention via Inter-Departmental delivery today. Please be sure to share this information with other members of your staff, so that they are aware of this resource as well.

Important Message - Notification of Tardiness or Absence Policy

Team –

The City of Houston Human Resources Department asked each City department to review, revise and/or create an absence/tardiness policy that describes appropriate notification methods. In particular, the use of electronic technology needed to be addressed.

A cross-section of employees provided input and a new Library Policy and Procedure was created: 5.0 Notification of Tardiness or Absence

Highlights of Policy and Procedure 5.0 Notification of Tardiness or Absence

· Employee must report unscheduled absence or tardiness to appropriate staff which includes: the supervisor, authorized employee designated by the supervisor, or manager in the upward chain of command, at or before reporting time.

· The employee is required to speak directly to the supervisor or appropriate staff.

· If supervisor or appropriate staff is not immediately available then employee may leave a message with a direct contact number on voicemail, email or text message.

· Supervisor or appropriate staff must respond upon retrieval of the message, however, it is still the employee’s responsibility to ensure they speak directly to their supervisor or appropriate staff no later than 30 minutes after scheduled reporting time.

· An employee may make up time (up to 4 hours) in the relevant pay period if approved by the supervisor.

Revisions were also made to the existing Library Policy and Procedure: 5.1 - Hours, Time and Attendance.

Important Revisions to existing Policy and Procedure 5.1 - Hours, Time and Attendance:

Prior to Revision

· In 5.1 Hours, Time and Attendance Procedure, section C it was stated “In no case should notification be later than 1 hour after scheduled starting time.

After Revision

· In 5.1 Hours, Time and Attendance Procedure, section C now states “In no case should notification be later than 30 minutes after scheduled starting time.

Harrassing IT Pays Off

After numerous calls to IT about how SLOWWWWWWWW Mil-Circ has been since the upgrade a few weeks ago, I called again today, and spoke with a wonderful lady who told me to check how much RAM was on the computers (we have 1GB), and she said we need 2GB.

IT said they would write up a ticket and hook our staff computers up with 2GB of RAM to see if that would help speed Mil-Circ up on our side.

Hold Notifications

I just replied to a customer concern and want to make sure all of you are aware of how notification of holds works.

When an item with a hold on it is checked in at the pick-up location, the notice to the customer that the item is ready for pick-up is sent into a queue. For those who are notified by email, that email notice is sent out at 7:30 am, Monday - Friday. So, if you check-in an item at 6 pm on Tuesday, the customer will receive an email early Wednesday morning that the item is ready for pick-up. In addition, if a customer checks their account any time after the item is checked in, the system will show that it is ready to pick up.

I hope this helps you understand the various time constraints we are functioning with when dealing with holds and I trust that you will make whatever adjustments are necessary to make sure that when customers come in to pick up their holds, we have them ready to check out.

Large white board delivery

Hi everyone,

HPL Digital Inclusion ordered a large white board to aid in the instruction for the WeCAN Works GED prep class. FIDS will be delivering the white board between today and tomorrow, and we are still waiting to see who will be in-charged of the item. Therefore, if the item arrive, please keep it in the workroom until we receive further instruction.
