  Staff Meeting Agenda

1. Participate in CMC—vote for the community organizations we’ll support with our fundraising efforts this month!  If you want to help with our food booth at Fall Fest next Friday, 10/23, let Holly or Ivy know. 
2. End-of Year Holidays.  Four are coming up in November and December:

a.     Veteran’s Day, Nov. 11: HPL closed Sunday, 11/11, and Monday, 11/12. SWMSC closed Saturday, 11/10—all staff will work at WAL.  Staff who work every weekend may take off 11/10 and reschedule hours for a day the following week.

b.     Thanksgiving, Nov 22:  HPL closed Thursday, 11/22 through Sunday, 11/25. FT staff will receive holiday pay for 11/22 & 23.  Saturday, 11/24, will not be a scheduled work day—FT staff will work Monday-Friday 11/26-30; PT staff will reschedule their Saturday hours during this week. 

c.     Christmas, Dec. 25: HPL closed Monday, Dec. 24, and Tuesday, 12/25, and reopen Wednesday, 12/26.  FT staff will receive holiday pay for 12/24 & 12/25; PT staff will reschedule their Monday and Tuesday hours for the remainder of the week.

d.     New Year’s Day, Jan. 1: HPL closed Tuesday, Jan. 1.  FT staff will receive holiday pay; PT staff will reschedule Tuesday hours for the rest of the week.  On Monday, Dec. 31, all HPL locations will close at 6 PM.

e.     Leave Requests:  With 4 holidays, there is enough time for everyone to get some time off if you want, if we share—1 holiday period per person.  Turn in your leave requests in Kronos by Nov. 9, and I’ll approve them, as long as we have enough staff available to run the buildings.  Remember, if you want to take off your regularly-scheduled Saturday, you must swap your Saturday with another staff member who can work on your day. Part-time staff can take off 4 Saturdays in a calendar year (subject to prior approval). 

3. Team Building Opportunities.  Several staff suggested an off-site team building activity for Staff Development Day.  HPL Training has already created a team-building activity for today, but we could plan an activity for after-work hours.  Let’s discuss:
1. What kind of activity would you enjoy doing as a group?
2. Who would like to plan this?
3. When would be a good time?

●      Friday, October 26: Pay day; CE Managers Meeting @ CEN; CMC Fall Fest @ CEN (locations delay opening until 2 PM).

●      Wednesday, October 31: Halloween Happening; wear costumes (?)

●      Tuesday, Nov. 6: Election Day; regarding time off, see COH AP 3-11 Absence at http://houstontx.gov/hr/e_relations/AP3-11.html or the Municipal Employee Guidebook, Sec. VII: Voting at http://houstontx.gov/hr/e_relations/employee_guidebook.html#Voting. Early Voting in Harris County is Oct. 22-Nov. 2.

●      November 10: SWMSC closed for Veteran’s Day holiday; all staff work at Walter.

●      November 12: Veteran’s Day—Library Closed.

●      December 8, 7pm-11pm: Staff Holiday Party at the U of H Hilton, and staff can bring a guest; more information will be forthcoming.

1. Celebrate SRP Success--Southwest #2 in registration, Walter #4! 

2.  Staff Changes:

·         Araceli transferred to Heights (extended hours location), 8/20.

·         Rene resigning to work in Spain, 8/31.

·         Jon’ Sha Robinson-Kennedy is transferring from Carnegie to replace Ivy, 9/4.

·         Ivy transferring to Stella Link when it reopen in late 2018-early 2019.

3. HEAR Attendance and Punctuality Metric for FY19

 .              Attendance and punctuality are equally important.  To get a certain you must meet both metrics.

• Staff are expected to start and end work according to their schedule.  Punctuality includes both clocking in late and clocking in early.
• Tardiness will be defined at clocking in more than 3 minutes after the scheduled time to start work.
• Supervisors will adjust an employee’s schedule at the beginning of the pay period if it deviates from their pattern in Kronos.
• Remember work week is Saturday - Friday.    
• The first week of the pay period is the one with payday on Friday; the second week ends with the approval of timecards on Friday (the pay period close).
• If you want to take off the Saturday you are schedule to work, please find someone to swap with (full-time staff).  Part-time staff can take off 4 Saturdays in a calendar year.  See Guidelines for Saturdays, June 2014 on blog.

Friday is the Last Day of the Pay Period

Just wanted to remind everyone that Friday is the last day of the pay period.  Please review your timecards and send any missing punches or comments to me before the end of the day on Friday. I will approve all timecards Friday night.

Don't forget Monday is a city holiday.  The Southwest Multi-Service Center will be closed on Saturday, 1/13, so all staff will be working at Walter.  And Monday, 1/15, is a City holiday--all libraries will be closed.

When it says Holiday that is the official city of Houston holiday in which full-time employees receive holiday pay. When it says Closed HPL has decided to also close that day as well but holiday pay is not provided. An employee normally scheduled to work that day would need to make-up the time or use other accrued leave.

Houston Veterans Day Celebrations

Houston Salutes Veterans Day Celebration & 9/11 Heroes Run

Saturday, November 11, 2017

 8 a.m. - 12 p.m.

In honor of Houston's veterans, first responders, and volunteers who have led Houston's recovery efforts from Hurricane Harvey, Mayor Sylvester Turner will host the annual "Houston Salutes American Heroes" Veterans Day Celebration and the Travis Manion Foundation 9/11 Heroes Run on Saturday, November 11, 2017.

The celebration will begin at 8 a.m. with the nationally recognized Travis Manion Foundation 9/11 Heroes Run, originally scheduled for September 9, 2017. 

The salute continues with the AARP Veterans Job & Resource Fair starting at 8 a.m.- 12 p.m. in Hermann Square at City Hall. Symbols of Freedom, presented by Wells Fargo, will feature military exhibits at City Hall.

The traditional Veterans Day Ceremony presented by H-E-B will begin at 10:00 a.m. on the steps of City Hall with a 21-Gun Salute. The ceremony will end at 11 a.m. with a moment of silence in memory of the signing of the WWI Armistice. Don Nelson, retired military and formerly with ABC13, will emcee the ceremony. 

All proceeds from registration (excluding costs) will be donated to the Hurricane Harvey Relief Fund.

STAFF TRAINING

Building Safety for Staff and Customers

Overview: Learn steps to take when an active shooter or other security threat occurs in the building and learn the evacuation routes in each building.

1. View the film “Run, Hide, Fight: Surviving an Active Shooter Event” (on Youtube at http://www.youtube.com/watch?v=5VcSwejU2D0&feature=youtu.be or from the Intranet homepage.
2. With the Evacuation Route map (attached), familiarize yourself with the location of each evacuation route in the building so you can use the one nearest to your location.
3. With the Evacuation Route map, identify locked areas in the building where you could hide from an active shooter.  Also identify areas that are not secured but could provide a hiding space in an emergency.
4. The Evacuation Route map is also posted on the bulletin board in the workrooms and in the public areas.
