New Procedure for reporting IT equipment problems (From IT department)

When something fails to work as expected, an Out of Order sign should be affixed with tape. On the sign, the PROBLEM section should be filled in so that a technician arriving can read the tag and fully understand the problem. Whoever posts the sign should enter their name, date and time posted. This will aid the technician in knowing who to visit with for further information or symptoms. In some cases, one person may post and another person may report the problem to the group responsible for the repair – there is a place on the form to distinguish this additional contact.

This tag will remain affixed to the malfunctioning device until it is repaired. If the device is technology, you must call the helpdesk at 832-393-1570 and when you do that, you will be assigned a call number. Please write that call number in the PROBLEM section of the form.

If the problem is Technology, the technician will remove the tag after the repair is made AND demonstration to the local location representative reporting the call, that the problem is indeed rectified. Those tags will be delivered to IT at 500 McKinney. These tags will be used by OCE repair persons as well. I ask you to forward Oce’s completed tags to IT through intercompany mail as they do not base out of the 500 McKinney address.

If the problem is NOT Technology related – remove the tag when the repair person has completed the task to your satisfaction.

The IT department is confident that this process will help us keep better track of our calls, ensure that we have a HelpDesk call number assigned and finally, more satisfied customers as removal requires signoff by the local group that the repair is completed to their satisfaction.
